Privacy Statement for recruitment

Introduction
This recruitment website (also referred to below as “Career site” or “the Service”) is provided by Teamtailor AB (“Teamtailor”) on behalf of Valtech SE, its affiliates under common control and its subsidiaries operating in its offices (collectively referred to below as “ Valtech”, “we”) .
This Privacy Statement for recruitment provides information on how Valtech processes and protects personal data of applicants (also referred to below as “you”, “your”) applying for a job opening posted by Valtech and explains which privacy rights you have in relation to such data processing. As used in this Privacy Statement for recruitment, “personal data” means information that relates to an identified or identifiable individual (e.g., name, email address, contact details, or other information gathered through your interactions with us).
1. General
In the relationship between Valtech and Teamtailor, Valtech is the data controller and Teamtailor is the data processor. Your personal data is processed for the purpose of managing and facilitating Valtech recruitment processes plus related processes linked to recruitment, e.g. management of recruitment interviews.
2. Collection of personal data
Valtech is responsible for the processing of the personal data that you provide.
Data we collect from you
Only data that is relevant for the recruitment process is collected and processed.
Valtech collects and processes some or all of the following information from you:
- Contact information: Name, e-mail, postal address, telephone number, social media profile.
- Information that you upload to the Service: CV, reference letters, qualifications, images etc. relating to your employment history, skills and experience.
- Information linked to interviews: Information you provide to us in regular interviews and/or video interviews. Results from tests performed by you in relation to a recruitment process.
- Technical data: Information about your use of the Service (e.g. the URL you are accessing the Career site from, your IP address, unique device ID, language and operating system etc.)
- Surveys: Your answers to surveys that Valtech might use for research purposes.
If you are unable to provide Valtech with the personal data above, please note that we might not be able to provide you with the Service in its entirety.
We will only ask you for the minimum amount of information necessary for recruitment. Except where permitted by local law (e.g. as part of the Voluntary Self-Identification Questionnaire), we will not ask you for sensitive data. Sensitive personal data is personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a person, data concerning health or data concerning sex life or sexual orientation. Please do not share such sensitive personal data with us.
Data Valtech collects from other sources
The Service allows us to collect your data from third parties such as social media providers, recruiting firms and people who recommended you. If you apply for a job opening or connect with us through your social media profile, e.g., LinkedIn, Valtech will collect your personal data from the relevant social media profile and process it via the Service. Valtech may also receive your personal data from recruiting firms or from a party who recommends you as a candidate for a specific job opening or for our business in general.
Sourcing
Where Valtech sees the potential of including you in a recruitment process for a job opening with us, our staff may source your personal data from third parties, such as LinkedIn and other social media sources, that keep public information about you – provided that you have been previously informed. Through “sourcing” Valtech collects your contact information and information that you have uploaded to the third party service.
When and how Valtech collects personal data
We collect your personal data when you:
- submit your application to us directly through the Career site or through your social media profile, or through external job boards.
- connect with us in order to be considered for future job applications and receive updates about job openings, either directly on the Career site, or through your social media profile.
- contact any of our employees through the Career site.
- provide feedback during or after a recruitment process.
Purpose of the processing
Valtech processes your personal data through the Service to/for:
- identify and evaluate candidates for potential employment, as well as for future roles that may become available,
- communicate with candidates based on current and/or future recruitment needs.
- consider your application in respect of a role for which you have applied or other roles for which your profile may fit
- maintain records in relation to recruiting and hiring.
- foster diversity and inclusion programs and practices at Valtech.
- analytics purposes to improve our recruitment and hiring process and increase our ability to attract talents.
- analysis or market research purposes using aggregated/pseudonymized data.
Lawfulness of processing
Valtech processes your personal data based on
- your consent, when you apply for a job.
- us performing contractual and precontractual measures relating to the employment relationship with you;
- us complying with applicable laws.
- our legitimate interests in evaluating and managing your application and to improve the recruitment process.
How long the personal data will be processed
The personal data used for recruitment purposes may be retained for a maximum of 12 months from the last contact with you; this duration can be reduced in compliance with local laws or if you exercise your rights, as mentioned in Section “Applicants’ rights” below.
3. Applicants’ rights
You have the following rights about your personal data:
- rights of access,
- right to request information and right to request a copy about the personal data we hold about you,
- right to rectification,
- right to erasure,
- right to restriction of processing related to your personal data,
- right to object,
- right to data portability.
You are not required to pay any charge for exercising your rights. If you make a request, Valtech has one month to respond. That period may be extended by two further months where necessary, taking into account the complexity and number of requests.
You can exercise these rights at any time by contacting the relevant local contact whose contact details are listed below in Section “Contact”. If you have any concerns about our use of your personal data, you also have the right to lodge a complaint with a supervisory authority.
You may withdraw your consent at any time, by contacting Valtech using the contact details listed under Section “Contact”. Using this right may however mean that you will not be able to apply for a specific job or otherwise use the Career site.
4. Security
The security of your personal data is important to us. Valtech is taking all appropriate technical and organizational measures to protect your personal data in accordance with Article 32 of the European General Data Protection Regulation from unauthorized access, destruction, loss or alteration. Valtech limits access to your personal data to those who have a genuine business need to access it. If you registered to the Career site, it is important you maintain the confidentiality of your identifiers in order to prevent illicit use of your account.
Storage of your personal data
Personal data processed through the Career site is stored within the EU/EEA, or in such third country deemed to offer an adequate level of security by the European Commission, or by suppliers that have entered into binding agreements that fully comply with the lawfulness of third country transfers.

5. Disclosure of personal data to third parties
Internally within Valtech Group: for recruitment purposes, your personal data can be shared within Valtech, i.e., with other Valtech group entities.
Externally: we only disclose your personal data to Teamtailor and its service providers (connected to the Service) who use it only in accordance with our instructions and as otherwise required by law. Valtech may also share your personal data with authorities to fulfil obligations under law or execute decisions. Valtech will not sell your personal data to third parties.
6. Cookies
The Career site uses cookies, managed by Teamtailor. You may accept or decline being tracked through these cookies by indicating your preference to the banner that is displayed to you during the first time you visit the Career site. You can at any time disable the use of cookies by changing the local settings in your devices. Disabling of cookies can affect the experience of the service.
7. Changes
Valtech may amend this Privacy Statement from time to time. The latest version of the Privacy Statement will always be available on request. The date at the top of this Privacy Statement indicates when it was last updated.
